Client

Our client provides back-office support and consulting for orthodontic practices throughout the country. Their services include practice consulting, marketing, patient insurance and collections, procurement, financial analysis, and more. The organization’s mission is to help orthodontic practices elevate their business to a higher level of success. They strive to achieve this mission every day for customers through the advancement of their internal operations. 

Challenge

Operating with various disparate accounting solutions was becoming a large hindrance to growth, so our client decided to pursue a cloud strategy that would: 

  • Allow for anywhere and anytime access to key applications and KPIs; 
  • Provide greater reliability; and
  • Reduce the overhead of internal server maintenance. 

Our client understood the value of partnering with a local firm to address their challenges and achieve their goals. Leadership engaged EisnerAmper to assess their technology environment, related processes, and strategy. Throughout the assessment, our EisnerAmper advisors worked closely with the client’s team to identify and recommend viable, cost-effective solutions to ease the organization’s main challenges, including: 

  • Maintenance of the 10- to 12-year-old on-premises servers; 
  • Over 30 systems with little to no integration; and 
  • Manual and duplicative processes.

Approach

In executing their cloud strategy, our client partnered with EisnerAmper to implement two best-in-class cloud accounting solutions: Sage Intacct and BILL (formerly Bill.com). This best-in-class approach supports our clients’ organizational growth goals and simplifies data capture and visibility for over 70 entities.  

Two Integrated Accounting Solutions 

Sage Intacct allows the organization to gain robust tracking and reporting of both multi-entity and multi-dimensional data, including doctors, practices, office locations, departments, and more. Integrating Sage Intacct with BILL and the clients’ proprietary systems significantly reduces manual and duplicative data entry and streamlines day-to-day processes. 
They have since added additional integrations to the mix, allowing them to reduce duplication and inefficiencies and shift their focus to more value-added work. As each new integration comes to fruition, they get closer and closer to realizing their overall strategic cloud-driven goals. 

Simplified Multi-Entity Consolidations

Sage Intacct enables our client to manage complex corporate operations and serve multiple doctors and office locations more efficiently than ever. Doctors are provided direct secure access to Sage Intacct, allowing them to gain instant insight into their operations through intuitive dashboards and reports. By delivering a world-class network, application, and data-level security, Sage Intacct also helps our client protect its financial and operational data. With security safeguards certified as HIPAA- and HITECH-compliant, our client has peace of mind that sensitive data will be adequately protected. 

Results

Decreased Software Costs 

As a result of pursuing a cloud strategy, our client replaced 11 of their separate systems with two integrated solutions, Sage Intacct and BILL. Consolidating these 11 systems’ functions into two integrated systems resulted in an estimated $64,000 reduction in software costs over the first five years.  

Enhanced Reporting Capabilities 

Reports that took four hours to compile are now produced in less than a minute. Accounting processes have been modernized and enhanced through built-in workflows and controls. Our client and the doctors served by their organization have gained financial intelligence for continued growth with a system that supports decision-making via timely, reliable information.
