How Virentes Partners Group Replaced QuickBooks with Sage Intacct to Scale from One Location to 65+

Virentes Partners Group is a family office investment partnership that provides capital and guidance to private and family-owned organizations poised for growth.

Through one of its wholly owned subsidiaries, Virentes Hospitality Group, the organization owns and operates franchised fast-casual food and beverage locations. The hospitality portfolio includes concepts like Shipley Do-Nuts and Sweet Paris Crêperie & Café, where Virentes is their largest franchisee. Additionally, Virentes Partners Group owns 25% of Saigon Hustle, where it is also one of the vietnamese concept’s franchisees. Each restaurant location is typically structured as its own legal entity and centralized under the parent’s umbrella.

What makes Virentes’s situation particularly interesting is the pace and scale of its growth plan. Within a 12-month span, the group opened seven new locations across two different concepts, with another five in the pipeline. The long-term commitment calls for 65 or more locations, with a target cadence of five to seven openings per year. That kind of growth trajectory puts extraordinary pressure on back-office systems, and it was clear from the beginning that their accounting infrastructure needed to sustain that.

The Challenge

Outgrowing QuickBooks

When Virentes’s VP and Corporate Controller, Osmin Somarriba, came on board, the organization’s entities were running on QuickBooks Online, which was workable for a single location. However, QuickBooks Online treated the entire portfolio as one entity, which meant there was no native way to track performance by location or concept. Osmin supplemented reporting with Excel, pulling the general ledger into spreadsheets and building pivot tables to slice and present the data by entity.

That approach functioned well for a small number of locations. Once the store count climbed to three, then five, then more, the long-term vision became unsustainable.

Manual Processes and Slow Closes

The reliance on manual workarounds had a direct impact on how long it took to close the books each period. Monthly closes were running five to six days after period end, largely because so much of the verification and reconciliation work had to be done by hand. Bank reconciliations, check runs, and cash position tracking all required manual effort that a more capable system could automate.

Preparing for Scale

Beyond the day-to-day pain points, Virentes leadership recognized a more fundamental issue: QuickBooks was not going to work as a long-term solution. Their growth plan called for dozens of new locations over the coming years, and every new opening would add another entity to an already strained system. The reporting needs of hospitality operations are specific and detailed, requiring the kind of dimensional slicing and consolidated views that QuickBooks simply cannot deliver on such a large scale.

 

The Approach

How Did the Sage Intacct Implementation Work?

Integrating Add-Ons

Beyond the core Sage Intacct platform, Virentes implemented multiple add-ons to automate key financial workflows. These included Expensify for expense management, Leasecake for lease tracking, and a banking integration for real-time cash visibility and automated reconciliation. Getting these integrations connected required some preparation and learning, particularly in the early stages when the add-on vendors were still finalizing their own readiness. Once the connections were established, the add-ons function smoothly with minimal ongoing intervention.

How Long Did the Implementation Take?

The team completed the full Sage Intacct implementation within five months, roughly half the time legacy Enterprise Resource Planning (ERP) implementation projects typically take. The early transition to the new system and centralized ownership structure contributed to the speed, but so did Osmin’s hands-on involvement and prior ERP experience.

Because Osmin was the primary accounting user, the people side of the transition required no large-scale change management effort. Instead, the implementation doubled as an opportunity to define processes and procedures properly from the outset so that accounting tasks and period closings all followed a consistent workflow.

Bank reconciliations happen almost automatically.

The banking integration feeds daily activity directly into Sage Intacct, making cash balances traceable and visible in real time. Bank reconciliation is a matter of verification rather than reconstruction.

Check runs that once took hours are now completed in a fraction of the time.

The process is defined within the software, so it follows a proven workflow every cycle where intercompany activity is properly recorded..

Adding a new location is now operationally equivalent to adding a new department.

Since all entities share the same chart of accounts and reporting structure, onboarding a new restaurant no longer means starting up an entirely separate accounting environment.
